Occasionally you might find jobs in Senta that you do not need to complete. Those jobs could be created in error, during a data import or a bulk update. This article will give you some useful tips on how to deal with any unnecessary jobs.

Cancelling jobs in bulk
You can cancel a specific job or multiple jobs via the All jobs list. To get started, go to Work > All jobs.
You should see a similar list on your screen:
Use the green boxes at the top to filter the list to a specific job or jobs. For example, I'd like to cancel all VAT return and Payroll jobs.
Click the green box at the top of the list that says Jobs and then select VAT return and Payroll.
At this point, the list will be filtered down to display just those two jobs: VAT return and Payroll.
We can narrow the list down further by selecting the task assignees, account managers, client type and status. You can learn more about using filter options on the All jobs list from our support article How does the all jobs list work?
Once all the filters are applied and the list is displaying all the jobs that you wish to cancel, tick the Select all box that is located at the top of the list:
You will notice that your list will be highlighted in yellow, which means that all jobs are selected.
Next, go to the More actions drop-down list at the top right and select Cancel jobs:
Senta will prompt you with a message, asking you whether you are sure and you would like to go ahead and cancel the selected jobs and tasks within those jobs.
Click Yes cancel X jobs to confirm.
Cancelling jobs individually
Sometimes you will not need to cancel jobs in bulk. In this case you can cancel individual jobs for a particular client from the client record.
First navigate to your client record, then click on the Work tab.
From this page you can now select the jobs that you would like to cancel, in this example I have added duplicate instances of the same job. So I am going to cancel one of the Client take-on jobs and one of the Tax return: personal jobs.
Select the jobs via the check boxes to the left. Then select Actions > Cancel jobs.
In the dialogue box that opens up click Yes cancel X jobs to confirm.
Cancelling tasks in bulk
The same methodology applies to cancelling tasks as cancelling jobs; you can cancel a specific task or multiple tasks via the Your tasks list. To get started, go to Work > Your tasks.
You should see a similar list on your screen:
Use the green boxes at the top to filter the list to a specific job or jobs, then further down into a specific task or tasks. For example, I'd like to cancel all the 'Add services / fees' tasks in the Client take-on job.
First, click the green box at the top of the list that says Jobs and then select Client take-on.
At this point, the list will be filtered down to display just tasks relating to the Client take-on job.
Then, I can click the green box that says All tasks and select the Add services / fees task.
At this point, the list will be filtered down to display just the Add services / fees task from the Client take-on job.
Similar to the jobs list, we can narrow the list down further by selecting the task assignees, account managers, client type and status. You can learn more about using filter options your tasks list from our support article Using the task list.
Once all the filters are applied and the list is displaying all the tasks that you wish to cancel, tick the Select all box that is located at the top of the list:
You will notice that your list will be highlighted in yellow, which means that all tasks are selected.
Next, go to the More actions drop-down list at the top right and select Cancel tasks:
Senta will prompt you with a message, asking you whether you are sure and you would like to go ahead and cancel the selected tasks.
Click Yes cancel X tasks to confirm.
Cancelling tasks individually
Sometimes you may have one task or several tasks that need to be cancelled for an individual client rather than in bulk. You can cancel these tasks from the client record.
First navigate to your client record, then click the Work tab.
Now you will need to click into the job that contains the tasks you would like to cancel, in my example I am going to cancel some tasks in the Tax return: personal job.
Once in the job, you can select the tasks via the check boxes to the left. I will be cancelling tasks 2 and 3. Once selected, then go to Actions > Cancel tasks.
In the dialogue box that opens up click Yes cancel X tasks to confirm.
Stopping services to avoid unwanted jobs, and what could go wrong
As you have probably noticed, Senta comes with several services and job templates. Some of them might not apply to your processes.
Before importing your client data to Senta or making any bulk changes that could potentially trigger unnecessary jobs, it's very important to review each service and job template to see if you need to make any amendments.
Services in Senta can be triggered automatically or manually (we have a great guide here which explains the difference between the two). A good example of a service that is triggered automatically is the New client take-on service.
You can find this service by going to Settings > Services > New client take-on
A quick tip: all automatic services have a bolt icon and all manual services, a hand pointing left icon.
New client take-on is set to trigger the Client take-on job automatically for every client added to Senta. During data import, you might find that the mass client data upload triggers multiple Client take-on jobs for you to complete.
The tasks within the Client take-on job apply to prospective clients that have just been converted to a client. Before your data import, you might want to disable the New client take-on service or you could switch it to trigger manually.
To disable the service, go to Settings > Services > New client take-on
It is worth noting that stopping services in this manner can also produce some unwanted effects if you are not careful. If we stick with New client take-on as an example, the client take-on job is responsible for adding client type specific forms to Senta, so without it these forms will not display on any client pages. This is not so much of a problem when you are performing a mass import, however it does become more crucial as you start to add in new clients ad hoc.
As a rule of thumb, always review a service before you decide whether or not to switch it off.
