Account Manager (guide)
The practice user assigned to a specific client.
Ad Hoc Task
A stand alone task that is manually created as and when needed by a practice user. Not the same as a task within a job.
Assignee
The person a task is set to be actioned or completed by. This can be a practice user, a client user, or Senta itself.
Calculated Fields (guide)
A field in which a function has been used to generate data based on a calculation.
Client Role (guide)
A way of assigning a client contact to be something specific, such as Previous Accountant or HR. Useful for when you may need information from a specific department at a clients' businesses.
Cloud / Cloud Based
A category of software, where the software and data is all held on online servers.
Dashboard (guide)
The landing or home page when you log into Senta, which will show each user's selected widgets.
Date Offset (guide)
A type of calculation that allows you to set a date that is x amount of time before or after another date or event.
Expression Tester (guide)
A tool that allows you to check the syntax of functions and placeholders on a live client.
Field Menu (guide)
An important interface in Senta allowing you to choose from hundreds of pieces of information. This is used in many different areas of Senta, including tasks, jobs and when setting up filters. These are usually tied to field references.
Fields (form fields) (guide)
An area where information is captured and stored in Senta. This is usually via a form.
Field References (guide)
A 'nickname' assigned to information stored in Senta, usually found in forms. Can be used to create date offsets, placeholders and functions.
Filters (guide)
Filters have many uses in Senta. Allows you to control when Senta creates a task within a job, based on a set of parameters. You can use filters to ensure jobs and services only run for specific clients, and can even filter form fields and tabs. Filters are also used on job, task and client lists.
Forms (guide)
The way Senta captures and stores information for clients.
Frequencies
How often a job is set to recur (yearly, monthly etc), set at service level.
Functions/Expressions (guide)
A method for creating more complex automated events such as date calculations, and complex filters/placeholders.
Integrations
Third party app connections to Senta, such as GoProposal, Companies House, Xero and Practice Ignition, as well as email integration.
Job (guide)
A set of one or more tasks organised into a single piece of work.
Job Creation Dates (guide)
The date on which Senta will generate a job for a client. This is a set amount of time ahead of the job date, dependent on frequency of the job.
Job Date (guide)
Also referred to as a pivotal date. The date an overall job is due to start.
Job List (guide)
A customisable table view of all the generated jobs your practice currently has in the Senta workspace. This can be used to create custom views to manage your jobs.
Key Date (guide)
Dates associated with jobs that are not the main job date; for example, a deadline for a client to supply information, or a filing date.
Lookup (guide)
A dropdown menu. These are used in forms and are a good way to capture information when there is a fixed amount of options and one must be selected.
Placeholders (guide)
A way to for you to tell Senta what unique client information to pull through into templates. Can be used to customise things like emails and text messages. Closely linked to field references.
Portal (client portal) (guide 1) (guide 2)
A secure area for your clients and you to send each other documents and questions, and where clients can securely fill in forms and provide electronic signatures.
Practice
The accountancy practice using the Senta software.
Practice User (guide)
Individual staff members at a practice.
Restricted client (guide)
Allows you to limit visibility of client information to practice users - useful for storing internal data about your practice that only certain practice users can view.
Restricted user (guide)
A type of practice user who can only view the clients where they are the account manager or specialist. Useful for subcontractors and trainees.
Service (guide)
A collection of one or more jobs, where you can set a frequency that the job recurs on.
Status (job, task) (guide)
A flag that tells you what state of readiness a task or job is in. Examples include Ready, Pending, Blocked and Completed.
Tabs (guide)
Places where client information is stored, usually generated by a form.
Task (guide)
An individual action within a wider job.
Task List (guide)
A list of every individual task currently generated in your Senta workspace, which can be filtered by parameters such as assignee, date and status.
Task Type (guide)
Senta has lots of different tasks you can perform, such as sending emails, generating word documents and filling out forms.
Widget (guide)
Used on the dashboard. Mini interfaces that display certain types of information about your practice, or have other useful basic functions such as a clock, scratchpad etc.
Workspace
The individual Senta site for each practice (www.[yourbusinessname].senta.co).
